We respect your privacy. This Policy explains what personal data we collect, how we use it, and the rights available to you under applicable laws, including Japan’s Act on the Protection of Personal Information (APPI), the EU/UK GDPR, and California’s CCPA/CPRA.
1) Who we are and scope
This Policy applies to the Site, our online learning services (including Sensei LMS), membership areas, e-commerce, email communications, and any events or video sessions we host (e.g., Zoom).
2) What we collect
We collect information in three ways: you provide it, it is collected automatically, or we receive it from third parties.
Information you provide
Account & profile: name, username, email, password, country/region, preferred language.
Enrollment & learning: course enrollments, progress, quiz/assignment submissions, forum posts/messages.
Purchases & billing: order details, billing/shipping address, VAT/Tax ID (if provided).
Support & correspondence: messages you send to us, survey responses, testimonials (with consent).
Event participation: Zoom display name, chat messages, audio/video you choose to share.
Information collected automatically
Usage & device data: IP address, device/browser type, operating system, pages viewed, referral URLs, time spent, approximate location.
Cookies & similar tech: see “Cookies and tracking.”
Information from third parties
Payment processors: limited payment metadata and status from Stripe/PayPal (we do not store full card numbers).
Single sign-on/social login (if enabled): basic profile data per your settings with that provider.
Analytics & video platforms: anonymized or pseudonymized metrics from tools like Google Analytics and video hosts.
3) Why we use your data (legal bases)
We process your data for:
Providing the service (contract): account creation, course access, progress tracking, certifications.
Payments and orders (contract/legal obligation): purchase processing, invoicing, fraud prevention.
Support and communications (legitimate interests/consent): service notices, updates, replies to inquiries.
Service improvement & security (legitimate interests): analytics, debugging, preventing abuse.
Marketing (optional) (consent/legitimate interests): newsletters, promotions; you can opt out anytime.
Legal compliance (legal obligation): tax, accounting, regulatory requests.
Where required (e.g., in the EEA/UK), we rely on consent for non-essential cookies/marketing, and on contract/legitimate interests for providing and safeguarding the service.
4) Cookies and tracking
We use cookies and similar technologies to run the Site and remember your preferences.
Strictly necessary: login/session management, security, shopping cart.
Preferences: language, video player settings.
Analytics: understanding usage to improve content and performance.
Marketing (optional): newsletters or campaign attribution.
You can manage cookies via our banner and your browser settings. Blocking some cookies may affect site functionality.
5) Learning, community, and events
Sensei LMS: we store enrollments, progress, quiz results, and completion data to operate courses.
Comments/forums (if enabled): posts are public to other participants; please share carefully.
Zoom/streaming events: sessions may be recorded for training and archival purposes. We will indicate when recording is active. If you prefer not to appear, keep your camera/mic off and use a pseudonymous display name.
6) Payments
Payments are processed by Stripe and/or PayPal. We receive a payment confirmation and basic billing metadata; your card details are handled by the processor under its own privacy terms. For subscriptions/memberships, processors may store your tokenized payment method to renew access.
7) Third-party services we use
Depending on your region and our current stack, we may use:
Hosting/CDN & security: [your host/CDN, e.g., Cloudflare]
Analytics: Google Analytics (IP masking where available)
Email delivery & newsletters: [e.g., MailerLite/SendGrid/Jetpack]
Video & live tools: YouTube, Vimeo, Zoom
These providers process data on our behalf under contracts or their own privacy notices. Links to their policies are available upon request.
8) International transfers
Our servers and providers may be located in Japan and other countries. When transferring personal data internationally, we use appropriate safeguards (e.g., contracts with standard contractual clauses where applicable). By using the Site, you understand that your information may be processed in countries with different data-protection laws than your own.
9) Data retention
We keep personal data only as long as necessary:
Accounts & learning records: for the life of your account and a reasonable period thereafter to maintain transcripts or comply with legal obligations.
Orders & tax records: typically 5–10 years (jurisdiction dependent).
Support tickets/emails: as long as needed for reference and quality assurance.
Marketing consent logs: until you withdraw consent or the data is no longer needed.
We anonymize or securely delete data when retention periods expire.
10) Your rights
Depending on your location, you may have the right to:
Access, correct, or delete your data.
Portability (receive a copy in a usable format).
Object or restrict certain processing.
Withdraw consent at any time (e.g., marketing).
Opt out of “sale”/“sharing” for cross-context behavioral advertising (CCPA/CPRA).
Lodge a complaint with your local data-protection authority.
Requests: contact us at email. We may need to verify your identity.
11) Children’s privacy
Our services are intended for individuals 13+ (or the age required by your jurisdiction). If you believe a child under the applicable age has provided personal data, contact us and we will take appropriate steps to remove it.
12) Security
We use reasonable technical and organizational measures to protect data (HTTPS/SSL, access controls, minimal data collection, regular updates). No method of transmission or storage is 100% secure; please use a strong, unique password and keep it confidential.
13) Links and embedded content
The Site may link to third-party websites or embed external media (e.g., YouTube, Vimeo). Those services may collect data per their own policies. We are not responsible for third-party practices.
14) Changes to this Policy
We may update this Policy from time to time. Changes will be posted on this page with a new effective date. Material changes may be communicated by email or on-site notice.
